Perform clerical and miscellaneous tasks as required for support of the engineering and project management departments.
MAJOR RESPONSIBILITIES (MR's) AND PERFORMANCE STANDARDS (PS's)
include the following. Other duties may be assigned.
MR1. Coordinate and communicate drawing updates as produced in the engineering department.
PS #1. Update drawing revision lists.
PS #2. Print or make .pdf drawings as required.
PS #3. Email or ship drawings and updates to appropriate recipients.
PS #4. Answer or redirect questions related to drawing updates and revisions.
MR2. Create and keep action item lists up to date.
PS #1. Use Excel templates to create action item lists for projects with detail of items to be communicated to the incumbent by engineering and project management personnel.
PS #2. Work includes reviewing field reports and adding appropriate items to the action item lists.
PS #3. Monitor action item due dates and solicit responses on items not resolved as the due date approaches.
PS #4. Store action item lists in the appropriate folders on the server when projects are complete.
MR3. Compile and maintain project documentation for inspections and final project manuals.
PS #1. Select, purchase, and assemble all binders, folders, or other documentation storage media.
PS #2. Separate and organize documents in binders, folders, or other documentation storage media in a logical manner for easy access by end users.
PS #3. Distribute, ship, and/or store all document packages produced in a manner that provides for easy location and access as necessary by end users.
MR4. General administration
PS #1. Delete all outdated versions of documents as appropriate.
PS #2. Shred all confidential documents as required.
PS #3. Organize paper and computer files as necessary.
PS #3. Assist with tracking of parts, quotations, manuals, etc. as necessary.

EDUCATION AND/OR EXPERIENCE
Minimum of a High School Diploma or equivalent and two years related experience and/or training; or equivalent combination of education and experience.
Must have the ability to read and understand English, understand basic business concepts and documents, and have the ability to understand the basics of technical reports or documents. Must have the ability to respond to common inquiries or complaints from our fabrication and field personnel or customers or at least direct them to the appropriate person in the department.
Must have the ability to perform basic mathematical calculations including addition, subtraction, division, multiplication, and percentages.
Ability to analyze and resolve problems and deal with a variety of personalities. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to extrapolate a process, document, or procedure from a written or oral list of expectations.
To perform this job successfully, an individual should have knowledge of Excel and Word, and be trainable in the use of MS Project.
